Installation

  1. Install from Chrome Web Store

    • Navigate to the Chrome Web Store

    • Search for "Crawl Space™ - SL"

    • Click "Add to Chrome" and confirm the installation

  2. Extension Permissions

    • The extension will request several permissions during installation

    • These are necessary for the core functionality (website scanning, Salesforce integration, etc.)

    • Review each permission before accepting

Initial Setup (Settings Section)

Creating a Basic Account

  1. Launch the Extension

    • Click the Crawl Space™ icon in your Chrome toolbar

    • The login overlay will appear on first use

  2. Register Your Email

    • Enter your email address in the provided field

    • Review the Privacy Policy and Terms and Conditions

      • Click the checkbox​

    • Click "Create Login"

    • You'll see a confirmation message once your free account is created

Activating Premium Features

  1. Once Purchased, follow the instructions in the email confirmation page

  2. Activate within the Extension

    • Click the extension icon to open Crawl Space™

    • Click the "Settings" toggle in the top-right corner

    • In the license section, click "Activate Premium"

    • You'll see a confirmation when premium features are activated

Basic Usage

Searching by Name

  1. Enter Target Name

    • Input the first name in the "Search First Name" field

    • Input the last name in the "Search Last Name" field

    • Click "Search Page By Name"

  2. Review Results

    • The extension will display potential email matches

    • Results include confidence scores (High, Medium, or Low)

    • Click any result to select it for further actions

Scanning Pages for Emails

  1. Open Target Website

    • Navigate to the website you want to scan for contacts

  2. Initiate Scan​

    • Click "Scan Page for Emails"

  3. Review Findings

    • The extension will display all emails found on the page

    • Additional contact information (phone numbers, company name, address) will be shown if found

    • Click any email to select it for lead creation

 

Web Crawling

  1. Configure Crawl Depth

    • Click the level controls next to "Deep Crawl" button to set depth:

      • Level 1: Scans 5 pages

      • Level 2: Scans up to 20 pages

      • Level 3: Scans up to 50 pages

      • Level 4: Scans up to 100 pages

      • Level 5: Scans up to 200 pages

    • Note - 4 & 5 have longer working times​

      • These do not return as they find contacts, but return on contacts after the scan is complete.​

  2. Start Crawling

    • Click "Deep Crawl" with your chosen depth setting

      • Note - some websites block crawling

  3. Review Comprehensive Results

    • The extension will display all discovered emails

    • Emails are sorted by type (personal before generic)

    • Contact information found across the site will be consolidated (first & last name if found)

    1. Access Style Settings

      • Open the Settings menu

      • Navigate to "Copy to Clipboard Style"

    2. Choose Format

      • Summary Style: Formatted with labels for general purposes

      • Spreadsheet Style: Tab-separated for pasting into Excel/Google Sheets

        • Get our standard Excel or Google Sheets "CRM Spreadsheets" here​

Salesforce Integration

Setting Up Salesforce URL

  1. Access Settings

    • Click the "Settings" toggle in the top-right corner

    • Scroll down to the "Salesforce Configuration" section

  2. Configure URL

 

Configuring Field Mappings

  1. Standard Fields

    • Under "Salesforce Import Fields," check/uncheck fields to include/exclude

    • Fields include: First Name, Last Name, Email, Company, Phone, Website

  2. Address Fields

    • Configure the Salesforce field names for address components

    • Default values: Street, City, State, PostalCode

    • Adjust if your Salesforce instance doesn't use these fields

  3. Repeated Fields (Custom Fields)

    • Set up to 5 custom fields for repeated information

    • For each field, provide:

      • SF Field Name: The Salesforce API field name

      • Placeholder Text: Visual label for your reference

      • Field Value: The data to populate

      • Picklist: Check if the field is a dropdown in Salesforce

  4. Save Configuration

    • Click "Save Settings" to store your configuration

 

Creating Leads

  1. Select Contact Data

    • After scanning or crawling, click on a discovered email

      • The extension will highlight the selection and display action buttons

  2. Create Lead

    • Click "Create Lead in Salesforce"

      • For leads without an email, use "Create Lead Without Email"

  3. Automated Form Filling

    • The extension will open your Salesforce lead creation page

      • Form fields will be automatically populated with the selected contact data

      • With "Complete After Import" toggled on, the form will automatically advance

  4. Alternative Methods

    • "Copy" button: Copies contact data to clipboard

    • "Export" button: Saves lead data as a CSV file for batch Salesforce import

      • Note that the phone number will be the same for all found contacts when using CSV​

Auto-Next Toggle

  1. Enable/Disable Automatic Progression

    • Toggle "Complete After Import" when viewing email results

      • When enabled, the extension will automatically finish creating the lead in Salesforce after filling forms

  2. Use Cases

    • Enable for batch processing multiple leads quickly

    • Disable when you need to review data before submission

 

Best Practices

Performance Optimization

  1. Crawl Depth Selection

    • Use lower crawl depths (Level 1-2) for quick scans

    • Reserve higher depths (Level 4-5) for comprehensive searches

    • Consider site size when selecting depth level

    • Avoid using Crawl in Directories, as only 1 phone number will show for each resulting contact

  2. Target Specific Pages

    • "About Us" or "Team" pages typically have the most contact information

    • "Contact" pages often contain generic emails but useful phone numbers

    • Search by name when you know who you're looking for

 

Effective Searching

  1. Name-Based Searching

    • Use full names when possible for higher confidence matches

  2. Result Evaluation

    • Personal emails (not marked as "Generic") are more valuable for direct contact

    • Look for "High match" confidence indicators (Not available in Deep Crawl)

    • Verify information before creating leads to ensure accuracy

 

Data Privacy Considerations

  1. Respect Website Terms

    • Some websites prohibit automated data collection

    • You are responsible for reading the websites' terms of service when crawling

  2. Responsible Usage

    • Use the tool for legitimate business purposes

    • Avoid excessive crawling that could impact website performance

  3. Data Management

    • Handle contact information according to applicable privacy regulations

 

Troubleshooting

Common Issues

  1. No Emails Found

    • Try using "Deep Crawl" instead of "Scan Page"

      • Deep crawl looks through multiple webpages and will likely find more information​

    • Some websites obscure email addresses to prevent scraping

    • Some websites block crawling to make sure traffic does not spike. Use "Scan Page" if those websites fail

  2. Salesforce Form Filling Errors

    • Verify your Salesforce URL is (https://your-salesforce-instance/lightning/o/Lead/new?)

    • Ensure field names match exactly with your Salesforce instance

      • Some custom Salesforce configurations may require manual adjustments

    • We recommend testing in a QA/SandBox environment​

  3. License Activation Problems

    • Ensure you're on the correct activation instructions emailed to you after purchase

    • To ensure the email matches our records, use the same email address as your User login
